Q: How to switch homeroom teachers:
A:

(1).  ADD NEW STAFF:

  • Go to People/Teachers and scroll to the bottom
  • Complete the form and click Add Teacher (the Class ID must be unique)

  • Detailed instructions on how to add a teacher:
    • Click on the People icon
    • Click on Staff
    • Scroll to the bottom of the staff list and begin entering in the information for the new staff account
      • Title - is for Mr., Mrs., Ms. etc.
      • First and Last name (required)
      • ClassID - (required) It is the only field that needs to be unique (no one else can have the same ClassID, either active or inactive).  For teachers, a typical ClassID is the grade level they are teaching or their primary subject. If an out-going staff person has the ClassID that should be assigned to this incoming staff person, then you can edit the inactive or out-going account to change their ClassID.  For out-going or inactive staff, we recommend adding their initials to their ClassID.  Also note that the ClassID can not have any spaces.
      • Description - is just a longer explanation of their role/position which appears in the Planner section.  For teachers, it is often 'Grade 8, as an example.
      • Screen Name and Password - can either be filled in by you or you can leave them blank and the system can generate them.
      • Type field - select 'Homeroom'
      • Schedule  - Used for attendance and is what determines the start and end time for their students
      • Grade  - If your teacher teaches a range of grade levels, contact helpdesk
      • Click 'Add Staff'

(2).  TRANSFER HOMEROOM STUDENTS*:
*If the outgoing homeroom teacher has entered in comments on the report card, contact HelpDesk before switching the students to the new homeroom teacher.

  • Go to People/Students/View by Homeroom
  • Click on Homeroom, click on first student's name, and change homeroom to the new teacher, and click Save changes

  • Detailed instructions on how to transfer homeroom students:
    • Go to People, then Students
    • In the left hand menu, click on View by Homeroom
    • When the list of homerooms appear, click on the name of the teacher whose students will be moving to another homeroom
    • In the student roster list, click on the name of the first student
    • In the right hand column, change the student's homeroom to the new homeroom, then click 'Save Changes'
    • In the left hand column will be the remaining students in the homeroom. Click the next student's name to move that student to the new homeroom
    • Repeat steps 5 & 6 until each student has been moved to the new homeroom

(3).  REASSIGN COURSES**:
** If the outgoing teacher has entered in comments on the report card, contact HelpDesk before switching the courses to the new teacher.

  • If multiple teachers will take over the courses of the teacher who is leaving then...
    • Go to Grades and Show who teaches what
    • Select previous teacher and click Edit
    • Scroll to bottom, select a course, select new teacher, and click "Reassign..."

  • If the new teacher is taking over ALL of the courses of the previous teacher then...
    • Go to Grades, then Show Who Teaches What.
    • In the Select Instructor drop down at the top, select the name of the instructor who currently teaches the course, then click Edit.
    • In the Reassign All Courses section down below, select the name of the new instructor, then click Reassign All Courses.
      * = If the courses have students and grades tied to it, the reassignment feature will transfer the roster of students as well as all GradeBook and ReportCard grades to the new instructor. Additionally, if the courses are empty (no students assigned), the reassignment feature will reassign those empty courses as well to the new instructor.

(4).  INACTIVATE OLD TEACHER:

  • Go to People/Teachers and click Edit
  • Click on the name of the staff person who left
  • Change Type from Homeroom to Inactive and click "Save changes"
